Program overview

The Erasmus+ program provides funding for teachers involved in Erasmus+ partnership agreements. The following activities are covered:

Organization Mobility (OS)

OS missions help ensure the smooth running of student mobility and encourage it. These missions can last between 2 and 5 days (excluding travel days).

Staff Mobility for Teaching (STA)

STA missions must be included in the Erasmus agreements. This involves giving courses at a partner institution, with a minimum requirement of 8 hours of teaching for a maximum mission duration of 5 days and a minimum of 2 days (excluding travel days).

Selection criteria

The funds allocated for this action are managed by the International Relations and Francophonie Office (IRO), which centralizes and allocates credits within the framework of this call for projects.

Based on the funding provided by the Erasmus agency, the following selection criteria apply:

  • A maximum of two missions per person will be granted (one OS and one STA).
  • The missions must be to two different destinations.
  • The duration of the missions may be reduced to fit the financial envelope.
  • Destinations that received an STA or OS visit the previous year are not prioritized.

These criteria do not apply if:

  • The request is part of a double degree or joint degree project.
  • The applicant participates as a speaker in a hybrid intensive program (BIP).
  • The allocated funding is sufficient to cover all requests.

Funding and compensation

OS Mission

  • Missions will be reimbursed on a flat-rate basis, considering the daily reimbursement rate for each country set by the interministerial order of July 29, 2020 and within a maximum limit of €1,100 per mission (Board Resolution No. 2023-12-15-13).
  • The mission holder must create their mission order in NOTILUS and can book their travel and accommodation at the same time (the amount of expenses incurred by the University will then be deducted from the reimbursement flat rate). The mission holder may also pay for transportation and accommodation directly and request reimbursement.
  • One month before the mission, the mission holder must contact the IRO (Brigitte.MEILLEROUX@uca.fr) to know the cost center and the EOTP to indicate in NOTILUS (under the "Analytical Distribution" section).
  • The mission holder must complete the risk assessment form for the mission and attach the result in the additional section of their NOTILUS mission order.
  • Upon return, to enable reimbursement, they must complete the NOTILUS expense report with their receipts.
  • The mission holder must also submit a mission report to the IRO.
 

STA Missions

The mission holder must contact the IRO (Brigitte.MEILLEROUX@uca.fr) to establish their mobility and teaching contract and specify the teaching dates.

The European Commission has determined flat rates for travel and accommodation. Therefore, the mission holder will be reimbursed based on:
  • accommodation costs calculated based on the duration of the activity (the duration of the activity is calculated as follows: the days worked + the travel days) and the destination country;
  • travel expenses calculated based on the distance (http://ec.europa.eu/programmes/erasmus-plus/resources/distance-calculator_fr) between Clermont-Ferrand (administrative residence) and the destination. A higher allowance is granted if an eco-friendly transport method (train, bus, carpooling) is used;
  • Weekends and public holidays are not counted unless they are worked or correspond to travel days.
One month before the mission:
  • The mission holder must create their mission order WITHOUT EXPENSES in NOTILUS;
  • The mission holder must complete the risk assessment form for the mission and attach the result in the "complement" section of the mission order in NOTILUS;
  • The mission holder must send the IRO their signed mobility contract in original to receive 75% of the lump-sum advance.
Upon return from the mission, to allow for the payment of the balance, the mission holder must submit to the IRO:
  • their Erasmus teaching contract duly completed and signed by both the individual and the host university (scanned signatures are accepted);
  • the attendance certificate signed by the host university;
  • a detailed report of their stay, which must be submitted online upon receipt of the request email from the Erasmus+ Agency.


Call for projects

The call for projects consists of an application package prepared by the IRO and communicated by email to Erasmus UCA agreement holders via their component, with a copy sent to the Institute Directors.
Responses to the call for projects are prepared by the Erasmus agreement holders and centralized within each Component's Department, which evaluates and ranks the projects according to its own procedure.
The components then send the ranked list of requests, along with copies of the classified application files, to the IRO, with a copy to their affiliated institute.
The IRO verifies the eligibility of the applications and finalizes the list of beneficiaries in accordance with the ranking established by each component, subject to the necessity of applying selection criteria.
